This Privacy Policy explains how DFW Urban Picnics ("the business," "we," or "us") collects, uses, and protects your information when you visit dfwurbanpicnics.com, fill out our booking form, or contact us by phone, text, email, or social media. We collect only what we need to plan and set up your picnic and to keep our website working, and we do not sell your information.

Information we collect

When you fill out our booking form (a Google Form on our Booking page) or contact us, we may collect:

• Your first and last name, email address, and cell phone number
• How you prefer to be contacted (email, call, or text)
• Your picnic details: the occasion, date, start and end time, number of guests, preferred park or location, package, theme, add-ons, and any message for a letter board or chalkboard
• A street address, if you ask us to set up on your own property
• Any special requests or accommodations you tell us about, which may include dietary needs for food add-ons
• How you heard about us, and a promo code if you have one
• Your typed name, which is your signature agreeing to our booking policy
• The name and memo on your payment when you send a deposit or balance through Zelle, Venmo, or PayPal. We never see your card or bank account numbers.

When you visit our website, our website host may automatically log basic technical information such as your IP address, browser type, and the pages you view. This helps keep the site secure and working properly.

How we use your information

• To answer your booking request and confirm availability
• To plan, deliver, set up, and clean up your picnic
• To email you your invoice, the form you sign, and your picnic-day details
• To text or call you about your booking, if you choose text or phone as your contact method or ask us to
• To keep a record of your bookings and payments
• To improve our website and the way we serve customers

Our emails and texts are about your booking. We would send you marketing messages, such as seasonal offers, only with your separate consent, and you can stop them at any time by replying STOP to a text or using the unsubscribe link in an email.

Text messages and calls

If you text us, choose text as your preferred contact method, or ask us to text you, we may send you text messages about your booking request, your picnic date and details, your deposit or balance, or a question you asked. Message and data rates may apply. Message frequency varies. Reply STOP at any time to stop receiving texts, or reply HELP for help. You can also call or email us and ask us to stop texting you. Consent to receive text messages is not a condition of booking a picnic.

We do not sell or share your mobile phone number or text-messaging opt-in information with third parties or affiliates for marketing or promotional purposes.

How we share your information

We do not sell or rent your personal information to anyone. We share it only in these limited cases:

• With service providers who help us run our business. Our booking form runs on Google Forms and your answers are stored in our Google account. Our website runs on the GoHighLevel platform (also called LeadConnector), and the web agency that maintains our website for us can see information stored there.
• With the payment service you choose (Zelle, Venmo, or PayPal), which handles your payment under its own terms and privacy policy.
• With vendors who help us fill your order, such as a bakery or a decor vendor for an add-on, and only the details they need: your name, your picnic date, and what you ordered. We ask them to take the same care with your information that we do.
• When required by law, such as a valid legal request, or to protect our rights, safety, or property.

If you ask us to recommend a photographer, we give you their contact information. We do not pass your information to them unless you ask us to.

Cookies and outside services

Our website platform and Cloudflare, which protects the site, may set basic cookies so the site works and stays secure. As of the date above, our website does not run Google Analytics, a Facebook pixel, or other advertising trackers. You can set your browser to refuse cookies, though some parts of the site may not work as well.

Our pages load fonts from Google Fonts, so Google receives your IP address when a page loads. Our Booking page embeds a Google Form; what Google collects when you use the form is covered by Google's privacy policy at policies.google.com/privacy. Links and QR codes for Zelle, Venmo, and PayPal open those services, and links to Instagram, TikTok, Facebook, Linktree, and the news sites in our press section open those sites. Each has its own privacy policy.

Our website does not respond to browser "Do Not Track" signals.

Photos and videos of our setups

We photograph and film our picnic setups, usually before guests arrive, and share them on our website and social media. We ask before posting photos or videos that show you or your guests. If you tag us or send us your photos, we may reshare them with credit. Tell us if you would rather we did not.

How we protect your information

We take reasonable steps to protect the information you share with us. No website or system can be guaranteed completely secure, but we work to keep your information safe and limit who can see it.

How long we keep it

We keep your information for as long as we need it for your bookings, our bookkeeping, and our tax records. After that, we delete it or remove the details that identify you.

Your choices

You can ask us to review, update, or delete the personal information we have about you. Call or text (214) 205-5967 or email [email protected] and we will take care of it. We may keep records we are required to keep by law.

Children's privacy

Picnics are for everyone, but bookings are made by adults. Our website is not directed to children under 13, and we do not knowingly collect personal information from them.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the date at the top of this page.
