These Terms of Service ("Terms") apply to your use of the DFW Urban Picnics ("the business," "we," or "us") website at dfwurbanpicnics.com and to the picnic services we provide. By using our website or booking a picnic, you agree to these Terms. When you book, you also agree to our booking policy, which you accept by typing your name on the booking form and sending your deposit. The invoice and the form we ask you to sign after your deposit add the details for your specific picnic. If they and these Terms disagree, the invoice and signed form for your picnic control.

About our services

DFW Urban Picnics sets up styled pop-up picnics in Dallas, Fort Worth, and the surrounding areas. Every package includes delivery, setup, and cleanup. The packages, prices, themes, and add-ons on our website describe what we offer and can change. Some packages and add-ons are seasonal or limited, as described on our website. The price for your picnic is the price on your invoice. We may use vendors to help fill parts of your order, such as sweets or decor add-ons, and we ask them to take the same care with your picnic that we do. Nothing on this website is a guarantee of availability or of any specific result.

Where we picnic

You pick the park or location from the options on our booking form, or tell us about another spot, including your own property. We confirm whether we can set up there when we reply to your request. A travel fee may apply if your location is more than 22 miles from zip code 75212. Any travel fee is part of the price on your invoice.

Booking requests and confirmation

Submitting the booking form is a request, not a confirmed booking. We reply within 24 to 48 hours with availability and next steps. Your date and time slot are reserved only when we confirm them with you and receive your deposit.

Deposits and payment

A 50% deposit secures your date and time slot. The deposit is non-refundable and counts toward the total price of your picnic. You can send it through the payment methods shown on our Booking page: Zelle or Venmo at (214) 205-5967, or PayPal at [email protected]. Put your name and your picnic date in the memo.

Once we confirm availability and receive your deposit, we email you your invoice, a form to sign, and your picnic-day details. Your invoice shows the total due, including any tax or fee that applies. The remaining balance is due 72 hours (3 days) before your picnic. If the balance is not paid by then, we may treat the booking as cancelled, and the deposit rules below apply.

Cancellations, rescheduling, and refunds

• All deposits are non-refundable. If you cancel, you forfeit your deposit, but we honor it as credit toward a future picnic booked within 3 months of your original picnic date.
• If you cancel after paying in full, the deposit rule above still applies, and we handle any refund of the rest case by case.
• Once your picnic is set up, we cannot refund or reschedule it, because the time and materials are already spent.
• If you want to change your date, guest count, or add-ons before setup, tell us as early as you can. Changes depend on availability and may change the price on your invoice. A reschedule for a reason other than weather also depends on availability, and we may apply the deposit rules above to it.

Late arrivals

We offer a 15-minute grace period for late arrivals when you let us know you are running late. If 15 minutes pass with no contact from you, we pack up the picnic and leave. A picnic we pack up this way was already set up, so the rule above for set-up picnics applies.

Weather

If there is bad weather on the day of your picnic, you have two options: we move the picnic indoors to a place you choose, such as your home, or we reschedule for another day you choose that we have open. There is no charge to switch.

Your picnic

You are responsible for following the rules of the park, venue, or property you choose. Permits or entry fees required by a park or venue are your responsibility unless your booking confirmation says otherwise.

Any champagne listed in a package is provided as described in your booking confirmation and only to guests of legal drinking age. Where you or your guests bring alcoholic beverages, for example for a BYOB mimosa bar add-on, everyone drinking must be of legal drinking age, and the park or venue rules on alcohol apply.

Tell us about allergies or dietary needs when you book. Food add-ons are prepared in ordinary kitchens, by us or by a vendor who helps us fill the order, and we cannot promise an allergen-free setup.

Everything we set up, including tables, rugs, pillows, blankets, glassware, dishes, decor, signs, tents, heaters, speakers, and games, stays our property, except items your invoice lists as yours to keep, such as custom fresh florals. Additional charges may apply for damage beyond normal use or for missing items, at replacement cost.

Your picnic ends at the end time you booked. We come back then to pack up, so please be ready to leave the setup at that time. An extra hour is $50 when we can offer it; ask us before your picnic or on the day. If you stay past your end time without arranging more time, we may charge the extra-hour rate.

Please keep children and pets away from candles, heaters, and the bubble tent, and do not move the tent or heaters. We take care with every setup, but we are not responsible for personal items left at the picnic site unless the loss is caused by our own negligence.

Text messages

If you agree to receive texts from us, they will be about your booking request, your picnic, or your payment. Message and data rates may apply. Message frequency varies. Consent to receive texts is not a condition of booking a picnic. Reply STOP at any time to stop receiving texts, or reply HELP for help. You can also call us at (214) 205-5967. Mobile carriers are not liable for delayed or undelivered messages. Our Privacy Policy explains how we handle your phone number.

Photos and videos

We photograph and film our setups, usually before you arrive, and use those photos and videos on our website and social media. We ask before posting photos or videos that show you or your guests.

Use of this website

The content on this website, including text, images, logos, and design, belongs to DFW Urban Picnics or is used with permission. Please do not copy or reuse it without our consent. We work to keep the information accurate and current, but we do not guarantee it is complete or error-free. The site links to third-party sites and services, including Google Forms, Zelle, Venmo, PayPal, Instagram, TikTok, Facebook, Linktree, and news sites. We are not responsible for those sites or their content.

Limitation of liability

To the fullest extent allowed by law, DFW Urban Picnics is not liable for any indirect or incidental damages arising from your use of this website or from events outside our control, such as weather, park closures, or road conditions. Nothing in these Terms limits any right you have that cannot be limited under Texas law.

Governing law

These Terms are governed by the laws of the State of Texas. Any dispute about these Terms or our services will be handled in the courts located in Dallas County, Texas.

Changes to these Terms

We may update these Terms from time to time. When we do, we will change the date at the top of this page.
